We would love to have you join our convention!
The Texas Haunters Convention™ is a cash-and-carry style two-day Halloween convention targeting Halloween and cosplay fans.
It is geared towards haunt owners, industry professionals, home haunters, families, trick-or-treaters, and just anyone who loves the Halloween season.
In addition to accessing the convention floor to take advantage of our exhibitor offerings, attendees will be able to participate in demonstrations, classes, make n’ takes, and other events.
We are an exhibitor-friendly convention and want to make sure you enjoy the convention as much as our attendees do. If you have any special requests, don’t hesitate to reach out and Contact Us.

Exhibitor Registration
Returning exhibitor registration starts on January 2nd, 2025.
New exhibitor registration starts on January 16th, 2025.
Exhibit spaces are assigned on a first-come, first-served basis. Premier Exhibitors can reserve a spot before the main registration opens up. If you want to become a Premier Exhibitor, Contact Us for details and minimum advertising requirements.
Exhibit spaces will not be reserved until paid in full during the registration process. Partial payments will not be accepted.

Shipments
For exhibitors needing to ship items to the convention, the deliveries for our convention must be scheduled with your carrier to arrive on either Thursday, July 25th or Friday, July 26th.

If you need to ship items earlier than that, you must Contact Us ahead of time to make arrangements.
Outgoing shipments need to be picked up on Monday, July 29th, by your carrier.
Load-In Information
You must stop at the exhibitor services booth just inside the “R” loading dock to pick up your exhibitor passes before loading in on the convention floor.
During load-in, please use the loading door assigned to you, which will be listed on your exhibitor pass. The map below shows the loading doors.
Do NOT block the loading doors or ramps with vehicles so that they may be used by all exhibitors loading in.
You may NOT use the lobby and must use the loading docks for load-in.
Main Load-In:

- Saturday, July 27th, 2025:
- 8:00 AM to 9:00 AM
For exhibitors needing to leave a trailer on the convention floor throughout the convention, you must drop off the trailer on Thursday only between 3:00 PM and 10:00 PM. Driving onto the convention floor will not be permitted during the main load-in times.
If you have a large display and need to unload your trailer only on Thursday, please Contact Us to make arrangements.
Only individuals with exhibitor passes will be permitted on the convention floor during load-in.
Load-Out Information
During load-out, please use the loading door assigned to you, which will be listed on your exhibitor pass. The map above shows the loading doors.
Do NOT block the loading doors or ramps with vehicles so that they may be used by all exhibitors loading in.
You may NOT use the lobby and must use the loading dock for load-out.
Please throw all trash away in designated receptacles and leave your areas clean.

Exhibit Space Options
Below is a list of the available exhibitor space options and the items provided with each type. Pipe and drape sizes shown are typical and may vary depending on location.

The ceiling height is 25+ feet.
Exhibitor booths, bare floor spaces, and photo ops now come with FREE shared basic electricity. Restrictions apply! Dedicated drops can be added during the registration process if needed.
Electricity and compressed air are not available for Artist Alley table spaces.
All exhibitors will receive two exhibitor passes. Exhibitor passes provide access to the convention floor as well as access to the Costume Ball. A maximum of two additional exhibitor passes may be purchased for exhibitors that have booth spaces. A maximum of four additional exhibitor passes may be purchased for exhibitors that have multiple booth spaces or bare floor spaces. Extra exhibitor passes are not available for Artist Alley tables.
If your exhibitor space is in a designated quiet zone, you may not play music, have props with sound, or have loud actors. This area is for exhibitors who need or prefer a quieter area to conduct business.

- The provided table must remain at the front of the space.
- Only small shelves, racks, or crates may be placed at the rear of the space or on the provided table.

* Vehicles must be detached from trailers and parked in the parking garage.
Exhibitor Costume Room
Exhibitors can use this location to get into costume, put on makeup, and store costumes when not in use during convention floor hours.
We are utalizing the green room in the back left of the Exhibiton Hall for this.
This is a shared space so please be respectful of other exhibitors.
This is NOT a breakroom so food is not permitted. You may have bottled drinks.
If you make a mess, please clean it up.
Attendees are not permitted in this area.
We are NOT responsible for lost, stolen, or left behind items.
Specialty Equipment Use
Use of anything that creates haze, mist, fog, scent distribution, strobes, or loud noises should be discussed with the convention organizers well in advance of the convention.
We need to make sure the venue is prepared for these types of items from a safety perspective.
Fog and haze must be water-based.
Shared electricity may not be used for fog or haze machines.
Prohibited Items
The below list of items are prohibited in the venue:
- Helium balloons*
- Glitter bombs or glitter sprays*
- Confetti or confetti bombs*
- Tents/Canopies (without prior permission)
- Food sold for immediate consumption
- Two-wire extension cords
- Outside food or drink
- Outside alcoholic beverages
* Use of these items will result in a charge to your card on file based on the venue’s current cleanup rates.
Trash Collection
The venue will not enter exhibitor spaces to empty trash cans or collect trash.
At the end of each day, you will need to set your trash can, as well as any other trash to be collected, into the aisle. The venue will then take care of it before the next day.

Advertising and sponsorship options are available to exhibitors as well as general businesses.

Use of Name or Logo
Use of the Texas Haunters Convention™ name and/or logo on any merchandise is strictly prohibited without written permission.
Exhibitor Agreement
By registering and purchasing an event space, you agree to the Exhibitor Agreement.
An example copy of the agreement may be downloaded here.
All exhibitors are subject to review and approval. This is to verify exhibitors are theme-appropriate and that we offer our attendees various exhibitor types.
Once your registration is approved, you will receive an email from “no-reply@signrequest.com” to electronically sign the Exhibitor Agreement.

Insurance
Our insurance covers the venue and our attendees only. It does not cover our exhibitors or their merchandise in case of damage or loss.
Texas Haunters Convention™ and Texas Haunters Group, LLC are not liable for any damages to exhibitor merchandise.
Below are two popular companies offering exhibitor insurance if you still need to carry a policy and would like to cover your merchandise at the convention. Texas Haunters Convention™ and Texas Haunters Group, LLC are not affiliated with either of them.
If you are engaged in the below types of activities or something similar, you must carry a policy, and proof of that policy must be provided to us before being allowed on the convention floor. These include but are not limited to:
- Stunts (such as stilt walking, charging, or sliding)
- Attendee Activities (such as an escape room, maze, mini haunt, or zombie tag)
- Knife Sales (if it has a sharp edge, even if meant to be decorative)
If you are engaged in these aforementioned activities, please add “Texas Haunters Group, LLC” and “Irving Convention Center” as additional insured to your policy. You will then need to provide a copy of your policy either during onsite registration or by emailing us ahead of time insurance@texashauntersconvention.com.

Sales Tax
Exhibitors are responsible for collecting and remitting applicable Texas sales taxes.
